Serving on the PTO Board is a great way to support our school, connect with our community, and help bring all the amazing programs and events at Carrillo to life.
Nominations are open now and will also be accepted at the next PTO meeting prior to voting. Elections will take place during the meeting. If you are interested in a role or want to learn more, please send questions or nominations to info@carrilloelementarypto.org.
In addition to attending general membership meetings, the Executive Board may meet in between meetings to continue the business of the PTO. The Executive Board positions are nominated and elected by the general membership at the second-to-last meeting of the school year.
In accordance with our Bylaws:
- Each Household membership unit shall be entitled to one vote on each matter submitted to the members.
- Each individual serving an Elected Position must have volunteer clearance Level A issued by SMUSD.
- Only one parent or guardian per household may serve an Elected Position at any time.
Executive Board Roles & Descriptions
President
The President shall preside at meetings, serve as the primary liaison to the school principal, represent the Organization as appropriate, and coordinate the work of officers and committees.
The President shall serve as an ex officio member of all committees unless otherwise determined by the Board.
*Manages Chairs/Committees, and general membership.
Treasurer
The Treasurer shall maintain accurate financial records, present regular financial reports, and ensure compliance with financial controls.
The Treasurer shall prepare an annual financial report at the close of the fiscal year.
* Oversees the PTO budget including the review of reimbursements and payments, coordination with tax preparer, and supports event and program chairs as needed.
Secretary
The Secretary shall maintain accurate minutes, records, and official documents of the Organization.
* Records the Membership and Executive Board meetings, publishes meeting agenda and maintains PTO contact list.
Director of Communications
The Director of Communications shall oversee PTO communications, including print and electronic media.
* Oversees marketing, social media, newsletter, website and yearbook.
Director of Fundraising
The Director of Fundraising shall oversee all fundraising programs and initiatives and provide regular reports to the Board.
* Oversees Sponsorships, Banners, Raffle Baskets, Cash for Colts, Dine Outs, Jog-a-thon and Spring Auction.
Director of Hospitality
The Director of Hospitality shall oversee events and activities that support staff and community engagement.
* Oversees the first day of school celebration, decorates the Teachers Lounge throughout the year, teacher appreciation week, staff birthdays, and special school staff days.
Director of Volunteers
The Director of Volunteers shall coordinate volunteer recruitment and serve as liaison with classroom room parents.
* Recruits parent and high school volunteers as needed for events and programs, updates the Room Parent Handbook, collects funds for Specials Teachers (Music, Library, STEM and PE), and arranges gifts for Specials Teachers.
Member-at-Large (2)
Two (2) Members-at-Large shall represent the general membership and must serve as a committee chair of at least one event or program during their term.
* Provides as-needed support throughout the year.
